For receptionists / front desk

Register and check in patients, run the queue and token board, send reminders, take payment, and chase follow-ups.

What you see when you log in

Your sidebar has Appointments, Queue, Patients, Follow-ups and Billing, plus Lab if your clinic has the Lab module. You don't see Prescriptions, Pharmacy, Reports or Settings — those belong to doctors, pharmacists and the clinic owner.

Registering & checking in patients

Everything at the counter starts with a phone number. Use Appointments → Walk-in for someone who's just arrived: type their mobile number first — if they've been seen before, Ayunila finds them and fills in their name automatically, so you never re-type a returning patient's details or create a duplicate.

  1. 1Open Appointments → Walk-in.
  2. 2Enter the patient's phone number — an existing match fills the name in for you.
  3. 3For a new patient, type their name and pick a gender.
  4. 4Choose the doctor (auto-selected if your clinic has only one) and the visit type.
  5. 5Submit — a token number is issued immediately and the patient lands on the queue.
Tip

Use New appointment instead of Walk-in when you're booking ahead for a future date and slot rather than issuing a token right now.

The queue, token board & reminders

Queue shows every patient in three columns — waiting, called (in consultation), and done — per doctor, with a live token count. A card marked unbilled means that visit still has money outstanding even though the consult may be done — worth flagging before the patient leaves. Open Queue → Display to put a clean, patient-facing token board on a TV or tablet in the waiting area; rotate its access code from the same screen if you ever need to revoke an old link.

Open an appointment and use Remind to send a WhatsApp reminder for that booking (needs the WhatsApp add-on). Messages shows every automated message your clinic has sent — confirmations, reminders, payment links, follow-ups — with its delivery status.

Collecting payments

Open a visit's bill or an invoice from Billing, choose Cash, UPI or Card in Collect payment, and mark it paid. For UPI, show the QR and confirm once the patient's payment lands. See Billing & invoices for the full walkthrough, including payment links and part-payments.

Follow-up calls

Follow-ups lists every patient a doctor asked to come back, grouped Due / Snoozed / Handled, with how many days overdue each one is. Call the patient, then record what happened: Remind (WhatsApp nudge), Complete (they came back), Snooze (call back later, pick how many days), or Dismiss (no longer relevant).

Tip

Work the list most-overdue first — red badges (14+ days) are the ones most likely to have been forgotten.

I typed a phone number at Walk-in and nothing matched — is that normal?

Yes, for a genuinely new patient. Just fill in their name and continue; they're registered as part of creating the appointment.

Why can't I see Prescriptions or Pharmacy in my sidebar?

Those are doctor and pharmacist tools. You can still see a patient's history, including invoices, from their Patients profile page.

A Remind button is missing on an appointment.

WhatsApp reminders are an add-on — if your clinic's plan doesn't include it, the button doesn't appear.

Can I edit a prescription for a patient?

No — only the doctor who's signed in can write or edit one. You can view it from the patient's profile once it's saved.
