Selling & dispensing

The sell counter — search or scan medicines, dispense straight from a prescription, and bill to a visit or as a standalone sale.

The sell counter

Pharmacy → Sell / Dispense is the counter screen. It's split into a medicine picker on one side and a running cart on the other — on a phone, the cart sits on top so the running total is always visible while you keep picking items below it.

Finding medicines

  • Type in the search box to filter the catalogue by name as you go, then tap a medicine card to add it to the cart.
  • Scan a barcode into the same box and press Enter (or let a hardware scanner do it) — a match is added to the cart straight away; a miss just falls back to filtering by the typed text.
  • Tapping an item already in the cart increases its quantity by one instead of adding a duplicate line.

Dispense from a prescription

Rather than re-typing what the doctor prescribed, load the patient's Rx and pull its in-stock lines straight into the cart.

  1. 1If you arrived from a patient's Rx, the prescription is already loaded — skip to "Load into cart" below.
  2. 2Otherwise, type the customer's mobile number into "Customer mobile — load their prescription" and tap Find Rx.
  3. 3If they have one prescription on file it loads automatically; if there's more than one, pick the right one from the list shown.
  4. 4The loaded prescription shows how many of its items are in stock (e.g. "3 of 4 prescribed items in stock") and lists anything not in inventory.
  5. 5Tap Load into cart to add every in-stock prescribed medicine to the cart in one go, at quantity 1 each — adjust quantities from there.
Note

Only in-stock lines load into the cart. Anything the pharmacy doesn't currently carry is listed separately so you know to tell the patient, but it isn't silently dropped.

The cart, GST and discount

Each cart line shows its own GST — every medicine is taxed at its own slab (falling back to the clinic's standard rate), never one flat rate for everything in the cart. Adjust quantity with the +/− buttons, or override the unit price per line if needed. A discount field is available for standalone sales; it's prorated across taxable lines the same way an invoice discount is.

Billing to a visit vs a standalone sale

If the patient has an open visit at the clinic right now, the sell screen shows that and defaults to Adding to the visit — meaning the medicines go onto that one visit bill and get paid once at checkout with everything else, rather than as their own invoice. A toggle lets you switch it off to charge this sale separately even though a visit is open (a genuine counter sale to the same person). If there's no open visit, the sale is always a standalone invoice.

Tip

When attached to a visit, no payment is taken at the pharmacy counter — GST and any discount are applied once, to the whole visit, at checkout in reception.

Completing the sale

Once the cart looks right, tap the button at the bottom of the cart — it reads "Add to visit bill" when attaching to an open visit, or "Charge ₹<amount>" for a standalone sale. A standalone sale takes you straight to its new invoice; a visit-attached sale takes you to that visit's checkout screen.

FAQ

The barcode scan didn't add anything — what happened?

The scanned code didn't match any medicine's barcode. It falls back to using the scanned text as a name search instead, so check the filtered list — the medicine may just not have a barcode saved against it yet (add one from its stock page).

Why can't I find a patient's prescription by phone number?

Either that mobile number doesn't match any patient on file, or the patient has no prescriptions recorded yet. Double-check the number, including the country code if it was entered differently at registration.

Some prescribed medicines didn't load into the cart — why?

Dispense-from-Rx only pulls medicines currently in stock. Anything not carried, or fully out of stock, is listed separately under the prescription so you know to substitute or tell the patient.

Can I sell without attaching to a visit even though the patient has one open?

Yes — switch off the toggle shown when an open visit is detected. This charges a separate invoice immediately instead of adding it to the visit bill.
