WhatsApp reminders & messages

What the clinic can send on WhatsApp, how sending stays deliberate rather than automatic spam, and where to see message history.

What Ayunila can send on WhatsApp

  • Appointment confirmations and reminders — sent when a booking is made, rescheduled, or as the visit approaches.
  • Follow-up recall nudges — from the Follow-ups worklist, remind a patient whose doctor-advised follow-up date has arrived that they haven't come back yet.
  • Payment links — Send payment link on an invoice WhatsApps the patient a link to pay their bill online.
  • Owner's nightly day-end digest — an opt-in summary sent to the owner's own phone after day-close: patients seen, collections by payment mode, and outstanding dues.

It needs the WhatsApp reminders add-on

Every WhatsApp send is gated by the clinic's WhatsApp reminders entitlement. If it isn't part of your plan, actions like Remind on the Follow-ups page or Send payment link on an invoice will show an upgrade prompt instead of sending — see Settings → Subscription.

Sending is always deliberate

Nothing auto-spams a patient. Appointment confirmations fire once, at booking, and reminders are scheduled around the visit itself — never a recurring nag. Follow-up recall messages and payment links only go out when a staff member taps the button: Remind (or Remind again) on the Follow-ups worklist, or Send payment link on an invoice. Each is a single, explicit tap.

Tip

The Follow-ups page shows whether a patient has already been reminded (the button reads "Remind again" once one has gone out) so you can see at a glance who's already been nudged.

The owner's nightly digest

Turn this on from Settings → Notifications: "WhatsApp me a nightly summary." It's off by default and opt-in — once enabled, the owner gets a WhatsApp message after day-close each night with patients seen, collections split by payment mode, and dues outstanding, without needing to open the dashboard.

Where to see message history

Go to Messages to see every WhatsApp message the clinic has sent — booking confirmations, reminders, payment links and follow-ups — each with its recipient, the message text, and a status of Sent, Failed or Pending. Filter by status, and check the Sent today / Sent total / Failed KPIs at the top for a quick health check.

Note

A message can show Failed if the patient's phone number is invalid, missing, or the WhatsApp gateway rejected it — that failure is logged here rather than silently dropped, so it can be chased up another way (a call, an SMS).

The managed WhatsApp sending account

Ayunila runs the WhatsApp Business sending account on your clinic's behalf as part of the plans that include this add-on — there's nothing to separately register with a messaging provider. Sending is covered under your subscription; if your clinic expects very high message volumes, talk to support about your plan.

FAQ

Why didn't a reminder send?

Check three things: the WhatsApp reminders add-on is active on your plan, the patient has a phone number on file, and the Messages page for the actual delivery status — it may show Failed with the reason.

Will patients get reminded over and over automatically?

No. Appointment reminders are scheduled once around the visit; follow-up recall and payment-link messages only go out when a staff member taps to send them, and the Follow-ups page shows if one has already gone out so you don't duplicate it by accident.

How do I turn on the owner's nightly digest?

Settings → Notifications → toggle "WhatsApp me a nightly summary" on and save. It's opt-in and off until you switch it on.

Can a receptionist see the owner's digest messages?

The digest is sent to the owner's own phone number, but its send record still appears in Messages for anyone who can view that page — the content is a clinic summary, not patient clinical detail.
