Appointments

Book, check in, reschedule and remind — everything that happens before a patient sees the doctor.

Two ways to get a patient on the list

Appointments (Clinical → Appointments) shows today's list with filters for status and doctor. From here you can book ahead with New appointment, or register someone who has just walked in with Walk-in — the fastest path when a patient is standing at the desk.

  • New appointment — pick an existing patient, a doctor, a date and time slot, and a visit type (Consultation, Follow-up, Routine Checkup, Emergency).
  • Walk-in — enter just the mobile number; the app looks the patient up and either recognises them or registers them in the same step.
  • Calendar — the same appointments laid out by day for a broader view of the schedule.

The mobile-number-first walk-in flow

Walk-in entry starts with the patient's mobile number, not their name. As soon as it's a valid number, the app checks records automatically.

  1. 1Open Appointments and click Walk-in.
  2. 2Type the patient's mobile number.
  3. 3If they've been seen before, a green "Returning patient" card appears with their name and, if applicable, which branches they've visited — no re-entry needed.
  4. 4If they're new, a short form appears for full name and sex.
  5. 5Select the doctor (auto-selected if your clinic has only one) and the visit type.
  6. 6Click Register & add to queue (or Add to queue for a returning patient).
  7. 7A token number is assigned immediately and shown full-screen — hand this to the patient or call it out.
Tip

From the token screen you can start another walk-in right away with New walk-in, or jump straight to the live queue.

Check-in, status and the token

Every appointment carries a token number (shown as A-<number> on the detail screen) that follows it through the queue. Open any row to see the full detail — patient, doctor, room, time and type — plus one-tap status buttons: Check in, Mark consult complete, and Cancel.

Note

Once an appointment is completed or cancelled it's closed — no further status changes are offered.

Rescheduling

Reschedule is available from the list (hover a row) or the detail screen, but only while the appointment is still Booked or Checked in — once a consult has started or finished, the slot is locked.

WhatsApp appointment reminders

Open an appointment and use Send WhatsApp reminder to nudge the patient about their visit. Once a reminder has gone out, the button relabels to Remind again and the screen shows exactly when it was last sent (e.g. "Reminded 20 min ago").

  1. 1Open the appointment from the Appointments list.
  2. 2In the patient summary card, click Send WhatsApp reminder.
  3. 3Watch for the confirmation toast and the "Reminded …" timestamp that appears next to the button.
Heads up

WhatsApp reminders need the reminders.whatsapp plan entitlement and a phone number on file for the patient — without either, the send fails with a clear message instead of silently doing nothing.

Staff notes

The Notes field on the appointment detail screen is internal only — it's for the team (e.g. "prefers afternoon slots", "bring old reports") and is never shown to the patient. Type a note and click Save notes.

Why can't I reschedule this appointment?

Reschedule only works while the appointment is Booked or Checked in. Once it's In consultation, Completed or Cancelled the slot is locked.

The walk-in form won't let me submit.

Make sure the mobile number is valid, a name is present (auto-filled for returning patients), and a doctor is selected — all three are required before Register & add to queue enables.

Where does the token number come from?

It's assigned automatically the moment the appointment is created, in booking order for that clinic that day.

Can I remind a patient more than once?

Yes — the button becomes Remind again after the first send, and each send updates the "Reminded …" timestamp.
