Follow-ups & recall
The recall worklist: patients whose advised follow-up date has arrived and who haven't come back.
What the worklist is
Clinical → Follow-ups lists patients whose doctor advised a follow-up date on a prescription (see Consultation & prescriptions) and who haven't been seen again since. A follow-up drops off the list by itself the moment the patient returns — a later prescription for them exists — or once it's snoozed past its date, dismissed, or marked done.
Nothing on this list is automatic. No WhatsApp message goes out unless someone deliberately clicks Remind — the worklist just surfaces who's due.
Due, Snoozed and Handled tabs
- Due — follow-ups whose date has arrived (or passed) and aren't snoozed. Each row shows how many days overdue it is, colour-coded: muted under 3 days, amber from 3–13 days, red at 14+ days.
- Snoozed — follow-ups pushed out of view until a later date; they reappear under Due automatically once that date arrives.
- Handled — follow-ups marked Done (completed, shown green) or Dismiss (shown grey), along with who handled it and when.
The page header and each tab show live counts (e.g. "12 due · 3 snoozed") so you can gauge the day's recall workload at a glance.
Filtering the list
- Doctor filter — narrow the list to one doctor's follow-ups (only doctors with follow-ups in the current window are listed).
- Search — filter by patient name or phone number.
Per-row actions
- 1Send WhatsApp reminder — click Remind (or Remind again if one was already sent) to message the patient about their overdue follow-up.
- 2Mark done — click Done once the patient has come back or the follow-up is otherwise resolved; it moves to Handled.
- 3Snooze 1 week — click Snooze 1w to push the follow-up out of Due for 7 days without dismissing it; it reappears automatically when the snooze ends.
- 4Dismiss — click the X to close out a follow-up that doesn't need action (e.g. the patient was seen elsewhere); it moves to Handled.
- 5Reopen — from the Handled tab, click Reopen to bring a done or dismissed follow-up back onto the active list.
Every reminder sent updates a "Reminded …" note on the row, so the whole team can see whether — and when — a patient was already nudged before calling them again.
Sending a WhatsApp reminder needs the reminders.whatsapp plan entitlement and a phone number on file for the patient. Without the entitlement the button fails with an upgrade message; without a phone number it fails with "No phone number on file for this patient."
Where follow-up dates come from
A follow-up only appears here if a doctor set a Follow-up date while writing that patient's prescription. The list only looks back 60 days, so very old advised follow-ups age out rather than cluttering the worklist indefinitely.
It either passed the 60-day window, or the patient already came back for a later visit — the system checks for a newer prescription and clears it automatically.
Check the error toast — it will say either that WhatsApp reminders aren't on your plan, or that the patient has no phone number on file.
The Snooze 1w button always snoozes 7 days from today; snoozing again after it reappears effectively extends it a week at a time.
Switch to the Handled tab, find the row, and click Reopen — it goes straight back to Due (or Snoozed, if you set that instead).
