Lab & diagnostics

Maintain your test catalogue, order tests for a patient, enter results and catch out-of-range readings.

The test catalogue

Lab → Manage Tests holds every test your clinic offers, each with a name, code, sample type, department, price, reference range and unit. This catalogue is what you pick tests from when ordering, and its price is what gets billed.

Note

A test that has never been ordered can be deleted outright. Once it's been used on at least one order, deleting it instead marks it inactive — it disappears from new orders but stays intact on the historical orders that used it.

Tip

Diagnostic tests are GST-exempt by default in India. A new test's GST rate is 0 unless you deliberately set one — it never inherits the clinic's standard GST rate.

Creating a lab order — a patient is required

Every lab order belongs to a patient. There's no way to raise an order without selecting one first, because results, the report PDF and the invoice all need somewhere to attach to.

  1. 1Open Lab → New Order.
  2. 2Search for the patient by name or phone and select them.
  3. 3Search the catalogue and click each test to add it to the order.
  4. 4Leave Create invoice on to bill for the tests (the default), or switch it off for a no-charge order.
  5. 5Add a discount if needed.
  6. 6Click Create Order.
Note

If the order is placed during an open visit (it carries an appointment), the tests are added to that visit's single bill instead of a separate lab invoice — one bill, one payment at checkout. A walk-in lab order with no appointment gets its own invoice as usual.

Order statuses

A lab order moves through four working statuses, plus Cancelled:

  • Ordered — the order was raised; sample not yet taken.
  • Collected — the sample has been taken from the patient.
  • Processing — the sample is being tested.
  • Reported — every test on the order has a result; the order also flips here automatically the moment the last result is entered.
Tip

Set the status as work happens (Collected when you take the sample, Processing once it's on the analyser) so anyone looking at the Orders list knows where a sample is without asking.

Entering results

  1. 1Open the order from Lab → Orders.
  2. 2For each test, enter the result value, unit and reference range.
  3. 3Set a flag (Normal, Low, High, Abnormal) — or leave it blank and the system will flag it for you from the reference range when the value is numeric.
  4. 4Add remarks if needed.
  5. 5Save the results.
Note

Once every test on the order has a result, the order is automatically marked Reported and (if the patient has a phone on file) a WhatsApp notification lets them know their report is ready.

Critical alerts

The Lab dashboard's Critical alerts panel surfaces recent Low, High and Abnormal results across the clinic (last 30 days) so nothing out-of-range gets missed in the day-to-day list view. Click an alert to jump straight to its order.

The lab report PDF

Every order has a printable A4 lab report — test results, reference ranges, flags and remarks, laid out for handing to the patient or filing.

Why do I need to pick a patient to create an order?

A lab order's results, report PDF and (usually) invoice all belong to a specific patient — there's no walk-in-without-a-patient path for lab orders the way there is for a quick pharmacy sale.

Does the order auto-flag results for me?

Only when you leave the flag blank and the value is numeric with a parseable reference range (e.g. "70-110", "< 5", "> 10"). A flag you set yourself is never overridden.

Will the patient be billed twice if the order is placed during a visit?

No — tests ordered during an open visit are added to that visit's single invoice rather than getting a separate lab bill.

Can I still edit a test's price or details after it's been used?

Yes, editing is unrestricted. Deleting is what's protected — a used test is deactivated instead of removed, to keep historical orders intact.
