Pharmacy inventory

The medicine catalogue, stock KPIs, adding a medicine with opening stock, batch and expiry tracking, and writing off stock.

The inventory dashboard

Pharmacy → Inventory is the home screen for stock. It shows three KPIs — Total medicines, Low stock and Expiring soon — and a searchable list of every medicine in your catalogue. Large catalogues load progressively: scroll to the bottom and tap Load more (or it loads automatically as you scroll) rather than pulling every medicine at once.

Filter the list by All, Low stock or Expiring soon to jump straight to what needs attention. Tap any medicine to open its stock detail — current quantity, batches, and recent stock movements.

The four module tiles

  • Sell / Dispense — the counter for a sale or dispensing a prescription.
  • Purchasing — suppliers and purchase orders, for restocking from a vendor.
  • Returns — credit notes and re-stocking returned medicines.
  • All medicines — manage the full catalogue (edit details, GST rate, reorder level).

Adding a medicine (with opening stock in one step)

Tap Add Medicine. The form is grouped in three sections: Medicine details (name, generic name, manufacturer, category, unit), Tax & identifiers (HSN code, barcode, GST rate, reorder level), and an optional Opening stock section for the first batch.

  1. 1Fill in the medicine name (required) and the rest of the details.
  2. 2Under Tax & identifiers, set the barcode if you'll scan this item at the sell counter, the GST rate (or leave it on Clinic default), and a reorder level so low-stock alerts fire at the right threshold.
  3. 3If you already have stock on hand, fill in Opening stock — batch number, quantity, expiry date, MRP and purchase price — in the same form.
  4. 4Tap Add medicine. The medicine and its opening batch are created together, and you land on its stock page.
Note

Opening stock is optional — leave the quantity blank to create just the catalogue entry, then add stock later from the medicine's stock page.

Batches, expiry and reorder level

Stock is tracked per batch, not just as one running total. Each batch carries its own batch number, expiry date, quantity and MRP. A medicine's stock page lists every batch with a status — Good, an "Nd left" warning inside 30 days of expiry, or Expired — so you always know which batch to sell from first.

Set a reorder level per medicine (in Tax & identifiers when adding it, or editable later) — once on-hand stock falls at or below that number, the medicine is flagged Low stock on the inventory list and counted in the Low stock KPI.

Stock adjustment / write-off

Open a medicine's stock page, find the batch in the Batches table, and tap Adjust. Choose Write off to remove quantity (expired stock, damage, breakage) or Correct up to add quantity back (a physical-count correction). A reason is required for every adjustment, and it's recorded in that medicine's stock movement history.

  1. 1Open the medicine's stock page and find the batch to adjust.
  2. 2Tap Adjust next to that batch.
  3. 3Choose Write off (remove stock) or Correct up (add stock back).
  4. 4Enter the quantity and a reason — e.g. "Expired — pulled from shelf" or "Physical-count correction".
  5. 5Submit. The batch quantity and the medicine's total stock update immediately, and the movement appears in Recent movements.

FAQ

Why can't I remove more than the batch quantity?

A write-off can't take a batch below zero — if you're removing more than what's on hand, check you have the right batch, or that the stock wasn't already adjusted elsewhere.

What happens to the medicine's GST rate if I don't set one?

It falls back to the clinic's standard GST rate at billing time. Set a specific rate on the medicine only when it differs from your clinic default.

Why does a medicine show "Low stock" even though I just added stock?

Low stock compares total on-hand quantity across all batches to the reorder level you set. If it's still flagged, either the reorder level is higher than expected or the new batch hasn't been added yet — check the medicine's stock page.

Do expired batches get removed automatically?

No — an expired batch is flagged Expired but stays on the books until you write it off, so nothing disappears from your records without an explicit reason logged.
