A day at the clinic

The end-to-end OPD loop — from booking to bill to follow-up — and how Ayunila's screens connect.

Ayunila is built around one loop that repeats all day, every day: a patient arrives, waits, gets seen, is billed, and — sometimes — comes back later because a doctor asked them to. Here's how that loop runs across the app's screens.

  1. 1Patient books online or walks in — either way they land in Appointments.
  2. 2Reception registers or checks them in by mobile number, and they're added to a doctor's queue with a token.
  3. 3The patient waits — the live token board in Queue (and optionally a waiting-room TV) shows who's next.
  4. 4The doctor consults in Prescriptions — vitals, past visits and a drug catalogue are right there, then the Rx is printed or shared.
  5. 5Pharmacy dispenses from the prescription, and/or Lab runs any ordered tests.
  6. 6Billing turns the visit into a GST invoice, collected by cash, UPI or card.
  7. 7If the doctor set a follow-up date, the patient later appears on the Follow-ups worklist for a WhatsApp reminder.
  8. 8The owner reviews the day-end report in Reports, or gets it by WhatsApp automatically.

Reception: mobile-number-first check-in

On Appointments, click Walk-in for a patient without a booking and enter their mobile number first — Ayunila looks them up automatically. A returning patient is found in one step; a new one is registered right there, in the same form. This keeps you from creating duplicate patient records.

The queue and the waiting-room TV

Queue shows every doctor's live token board — waiting, called and done. Reception or the doctor calls the next token. The same board can run on a physical TV in the waiting room: Queue → "TV setup" gives a QR code and short access code to open it once, after which it stays live on its own.

Consultation and prescriptions

The doctor opens the patient from Prescriptions. Vitals recorded for the visit (BP, pulse, temperature, SpO₂) show read-only alongside the prescription form, together with a recall panel of the patient's past visits and a drug-name typeahead across an Indian drug catalogue — a repeat prescription is a few taps, not a re-type.

Pharmacy and lab

If the clinic runs its own pharmacy, Pharmacy → Sell/Dispense lets the pharmacist dispense straight from the prescription, deducting stock automatically. If the doctor ordered tests, they appear in Lab as orders to run and results to enter, against the clinic's own test catalogue. Both need the matching module on the clinic's plan.

Billing

Billing turns the visit into a GST-ready invoice covering consultation, pharmacy and/or lab charges — combined or separate, per the clinic's billing model. Payment is recorded as cash, UPI or card; UPI shows a real payment QR code generated from the clinic's own UPI ID, so the patient scans and pays with no gateway involved.

Follow-ups and the day-end review

A follow-up date set on a prescription puts that patient on the Follow-ups worklist once the date arrives, as long as they haven't already come back — nothing sends automatically, a staff member taps to send the WhatsApp reminder, or marks it done, snoozed or dismissed. At the other end of the day, Reports shows patients seen, collections by payment mode, and dues, exportable as CSV; owners can also opt in to a nightly WhatsApp summary from Settings → Clinic profile → Notifications.

Note

For more detail, see "Set up your clinic" for the owner's setup checklist, and "Accounts, login & 2FA" for how sign-in and roles work. This loop is the same whether the visit started as an online booking or a walk-in, and whether the clinic has one branch or several.

What if a patient doesn't have a follow-up date set?

They simply never appear on the Follow-ups list — it's populated only from prescriptions where a doctor explicitly set a follow-up date.

Can billing happen before the consultation?

Yes — Settings → Billing model lets you choose to collect payment upfront at reception, after the consult, or on credit (khata), per your clinic's policy.

Does every clinic have Pharmacy and Lab?

Only if those modules are included in the clinic's plan — check Settings → Your plan to see what's included.
