For pharmacists

Inventory, batches and expiry, low stock, selling and dispensing, returns, purchase orders, and stock write-offs.

What you see when you log in

Your sidebar has Pharmacy — Medicines, Sell, Returns and Purchasing — plus Appointments, Queue, Patients, and Lab if your clinic has the Lab module. Prescriptions (writing them), Billing, Reports and Settings aren't shown — those belong to doctors, billing staff and the clinic owner.

Inventory, batches & expiry

Pharmacy → Medicines is your master list — name, generic name, manufacturer, HSN code, barcode, GST slab, and how much is on hand across all batches. Set a Reorder level per medicine so Ayunila can tell you when you're running low; any medicine at or below it is flagged, and the clinic owner sees a low-stock count on the main Dashboard too. Every unit belongs to a batch with its own expiry date — a medicine's Stock page shows each batch's status: Good, an amber "N days left" once within 30 days of expiry, or Expired.

Adding medicines with opening stock

  1. 1Pharmacy → Medicines → Add medicine.
  2. 2Fill in the name, generic name, manufacturer, HSN code, barcode (scan or type — used at the sell counter) and GST rate.
  3. 3Set a Reorder level so a low-stock alert fires once you dip below it.
  4. 4Opening stock is optional right here — add the first batch's quantity, batch no., expiry date, MRP and purchase price now, or skip it and add stock later from the medicine's Stock page.

Selling & dispensing

Pharmacy → Sell is the counter screen. Search medicines by name, or use a hardware barcode scanner — scan and hit Enter, and the matched medicine drops straight into the cart.

  • Dispense from Rx — open Sell with a prescription pre-linked (via Dispense at pharmacy on the Rx itself, or a phone lookup), showing exactly what the doctor prescribed, ready to add to the cart.
  • Phone lookup — search a customer's mobile number to find their recent prescriptions.
  • Attach to open visit — if the patient has an open, uncheckout visit, the sale defaults to landing on that one bill; toggle it off for a genuine standalone counter sale.
  • GST applies per medicine's own slab (or the clinic default) automatically.

Returns & purchasing

Pharmacy → Returns: look a sale up by its invoice number, pick which lines and quantities are coming back, and confirm — a credit note is raised and the returned stock re-enters inventory automatically. Pharmacy → Purchasing manages your supplier list and purchase orders; a PO moves Draft → Ordered → (Partial or Received), or Cancelled before it's received, and receiving a PO adds the received quantities straight into stock as new batches.

Stock write-offs

From a medicine's Stock page, open a batch and use Adjust — Write off to remove damaged, expired or lost units (a reason is required), or Correct up to add units back if a count was under-recorded. Every adjustment is logged against that batch with who did it and why.

Heads up

You can't write off more than a batch actually has on hand — the quantity is capped, so a write-off can't push a batch negative.

The barcode scan didn't find a medicine.

It falls back to using the scanned text as a name search, so you can still find and add the item if the barcode isn't catalogued yet.

Why is a sale attaching to an existing visit instead of billing separately?

The patient has an open, unpaid visit — the toggle on Sell defaults to putting pharmacy items on that same bill. Switch it off for a separate counter sale.

Can I edit a batch's expiry date after adding it?

Correct the count with Adjust if the quantity is wrong; for a mis-entered expiry date, contact your clinic owner.

I don't see Billing or Reports in my sidebar — is that a bug?

No — those are for billing staff and the clinic owner. Sale totals and GST for pharmacy still show right on the Sell screen.
