For billing / cashier
Invoices, GST and exempt supplies, collecting Cash/UPI/Card, UPI QR, payment links, credit (khata), refunds and your day's collections.
What you see when you log in
Your sidebar has Billing, plus Appointments, Queue and Patients for context. Prescriptions, Pharmacy management, Lab, Reports and Settings aren't shown — Reports is owner/manager-only, so day-end analytics with by-doctor and revenue-trend breakdowns aren't part of your view; your day's collections live right on the Billing & Invoices page instead.
Invoices, GST & exempt supplies
Most invoices are generated automatically when a visit is checked out — consultation, procedures, lab and pharmacy lines from that visit roll into one bill. Billing → Unbilled visits finds visits that were checked out but still owe money. For a charge with no visit behind it, use New invoice instead. Consultations are always GST-exempt healthcare supplies by law — they show as "Exempt" with zero tax, regardless of your clinic's standard GST rate, and that's correct. Procedures, lab tests and medicines each carry their own GST slab — a bill can mix exempt and taxed lines and still be fully compliant. Full walkthrough in Billing & invoices.
Collecting Cash / UPI / Card
- 1Open the invoice or visit bill.
- 2In Collect payment, pick the method — Cash, UPI or Card.
- 3Cash or Card — tap Mark paid to record the full balance collected.
- 4UPI — tap Show UPI QR, let the patient scan and pay, then Confirm received & mark paid.
- 5The invoice flips to Paid, showing method and date next to the total.
The UPI QR is generated for the exact outstanding balance, not the full invoice total — so a part-paid invoice still produces a correct QR for what's left. If no QR appears, the clinic hasn't set a UPI VPA yet (ask the owner).
Payment links & credit (khata)
Send payment link WhatsApps the patient a link to pay online instead — needs the online-payments add-on (a 402 error means your plan doesn't include it). A link is always for the full remaining invoice, so a part-paid one can't have a link sent for just the balance — collect that at the counter. For clinics that let regular patients run a tab, checkout can send the charge To khata instead of collecting immediately; find a patient's running balance and ledger on their profile's Credit tab, and record a payment there whenever they settle up.
Khata only appears as a checkout option for clinics that have it turned on. If you don't see it, your clinic collects payment upfront or after every visit instead.
Refunds & your day's collections
A paid invoice can't simply be deleted, and a visit's invoice can't be deleted at all — raise a credit note against it instead so the visit still points at a real, auditable bill. Pharmacy returns (medicines physically coming back) are usually handled by the pharmacist from Pharmacy → Returns. Your working total for the day is right at the top of Billing & Invoices — Total billed, Collected and Outstanding, plus a count of unbilled visits still open; the fuller day-end report with per-doctor breakdowns lives in Reports, which is owner/manager-only.
Consultations are GST-exempt healthcare supplies under Indian tax law — that's the correct treatment, always.
A 402 error means online payment links aren't in your clinic's current plan — collect by Cash, UPI or Card instead.
It's owner/manager-only. Your working collections total for the day is on the Billing & Invoices page itself.
Open their profile's Credit tab and record a payment for whatever amount they're paying now.
